DiRA — Digital Records Assistant

DiRA is ECEWS’ innovative robotic process automation tool, designed to streamline the flow of service data from the point of care directly to reporting systems. It intelligently extracts patient-level data from Electronic Medical Records (such as LAMISPlus, NMRS, etc), aggregates it, and automatically posts accurate summaries into DHIS2. This dramatically reduces manual workload while significantly improving data quality and timeliness.

Why DiRA matters

DiRA aligns with ECEWS’ commitment to data integrity, confidentiality, and responsible use. It operates within our existing Monitoring & Evaluation governance and security practices, ensuring patient information is protected while maximizing its utility for informed decision-making.

  • Faster reporting, fewer errors: DiRA eliminates routine manual data entry and enforces consistent calculations, enabling teams to generate cleaner data more quickly.
  • Built for the field: Designed for resilience in low-resource settings, DiRA automatically resumes operations after power or internet interruptions and can process backlog entries on demand.
  • Proven at scale: In current live deployments, DiRA automates over half (approximately 56%) of daily DHIS2 entries, freeing health workers to focus on patient care rather than cells and forms.

Key Features

  • Automated Daily Reporting to DHIS2:
    • Aggregates patient-level records from EMRs (e.g., LAMISPlus, NMRS, etc) and structured Excel outputs.
    • Consistently calculates indicator totals (e.g., TX_NEW, TX_CURR, TX_PLVS).
    • Submits results directly into the DHIS2 instance with audit-ready precision.
  • Offline Capability & Resilience:
    • Auto-resumes operations after connectivity or power interruptions.
    • Features a backlog mode to quickly and reliably clear days of pending entries.
  • Reduced Rework and Risk:
    • Minimizes copy-paste errors and transcription fatigue.
    • Handles protected cells and table-list selections to respect form logic.
  • AI Prompt:
    • A conversational interface for querying or generating content using AI models, useful for advanced data analysis.

How it works

  1. Ingest — DiRA reads data from EMR exports or approved Excel-based reports.
  1. Validate & aggregate — Built-in rules compute the correct daily totals for each DHIS2 data element.
  2. Submit — DiRA authenticates and writes the aggregate data into the daily DHIS2 instance.
  1. Recover & retry — If interrupted, DiRA picks up exactly where it left off and can execute backlog catch-up jobs

Results we’re seeing

Our current implementations demonstrate significant impact:

  • Approximately 56% of daily DHIS2 entries are automated.
  • Programs report fewer data discrepancies and faster report turnaround, alongside increased team awareness regarding timely reporting.
  • Staff time is reclaimed for supervision, client navigation, and data utilization, moving away from manual data entry.
